Every year, schools are required to report final internal ratings for their students to TASC in Term 4 (see TASC Key Dates for the due dates). This is a 2-stage process.

The submission process (Stage 1) ensures that students know their final internal ratings and these ratings are uploaded into the TASC reporting system. The verification process (Stage 2) ensures that students receive an accurate statement of results in mid-December.


Stage 1: Submitting internal ratings to TASC

Schools are to ensure that the final internal ratings that have been submitted to TASC by course teachers are:

  • an accurate reflection of a student’s achievement against the course criteria
  • known and signed by the student (see the ‘Reporting final internal ratings to students’ tab below)
  • rigorous and error free (schools should have quality control and data-entry control checks in place)
  • submitted by the due date/s (see TASC Key Dates)
Process for the submission of internal ratings:
  1. Each teacher must determine individual student final internal ratings for each course criterion.
  2. Each teacher must provide students with their final internal ratings (see the ‘Reporting final internal ratings to students’ tab below).
  3. Each teacher must submit the final internal ratings to TASC by the due date/s. This is done:
    • via TRACS for Catholic and Independent schools
    • via SARIS for DECYP schools.
  4. School TLOs should run the ‘Missing Internal Ratings’ reports in TRACS to perform an initial quality control check on the completion of internal rating submissions before the due date/s.

Stage 2: Verifying submitted internal ratings

After submissions close, TASC provides a verification period for schools to ensure that the uploaded internal ratings are error free. Any required corrections must be made before the end of the verification period.

The rating verification process for schools is usually coordinated by the school’s TLO or an Assistant Principal. Each school should have a policy that outlines who is responsible for the verification process.

Process for the verification of internal ratings:
  1. Run the ‘Rating Verification‘ reports in TRACS and distribute the report documents to individual class teachers with instructions on what is required and the school’s due date for these to be finalised.
    • TLOs might circulate the report document in hard copy form and give to individual class teachers.
    • Alternatively, TLOs might scan and send the report document to individual class teachers.
  2. Teachers are to carefully check the report document against their own assessment records.
    • Any incorrect rating needs to be corrected on both the report document and in TRACS (for Catholic and Independent schools) or SARIS (for DECYP schools) before the end of the verification period.
  3. Teachers are to confirm that their ratings (including any corrections) are accurate by signing and dating the report document and then informing their TLO.
  4. Schools are required to keep a full record of all Rating Verification reports, including all annotated copies. Schools and/or TASC may need to access these Rating Verification reports at a later stage as supporting evidence for auditing purposes. Storage of the reports might be done in various formats:
    • Schools might have a process where all completed hard copies of report documents are stored centrally and securely (e.g. in a folder or box in the school office)
    • Schools might have a process where all completed report documents are scanned and saved in an online central location (e.g. Teams)
    • NB: TASC does not require schools to return hard copies to TASC.
  5. Where appropriate, schools should re-visit and update their Reporting and Rating Verification processes, as part of continuous improvement for best practices.

To comply with TASC Provider Standard 6:

  • Each teacher must provide students with their final internal ratings to sign before providing the ratings to TASC.
  • Students also need to be advised of the school’s process to request a review of their internal ratings.
  • The copy of a student’s internal ratings should be provided within a timeframe that allows the school’s review process to be undertaken before ratings are submitted to TASC.
  • Standards for providers – Standard 6 provides additional information about the policies and procedures schools should have in place.

Important features to include in the information provided to students with their internal ratings:

  • Course title, name and level of course
  • Student’s name
  • Date that report is provided to students
  • Internal ratings for each criterion
  • A statement that clearly outlines that the school has a process for students to request a review of their internal ratings
  • Student signature
  • Written statements of the course criteria
  • Award requirements

Reporting final internal ratings to students

There are two types of reports a school can run via TRACS:

  • Missing rating report
  • Rating Verification report

These reports can be run by the school at any time during the submission and verification period.

Schools must run the Rating Verification reports during the verification period to confirm that all entered ratings are correct. The reports are downloadable at the TASC course level as PDFs, i.e., Level 3 and Level 4 courses and as a separate report for Level 1, 2 and Preliminary courses.

If corrections for any of the internal ratings are required, it is the responsibility of the school to ensure that the corrections are made before the closing date of the verification period.

If a school requests a change to the final internal ratings after the verification period is closed an additional process and supporting documentation will be required.

Schools will need to:

  • make an official request to change a rating via TRACS using an ‘Internal rating error’ communication task type
  • provide the assessment record for the individual student (including final assessment methodology)
  • provide a copy of the school-based documents used to inform the student of their final internal ratings (see Standards for Providers Standard 6)
  • outline the cause of the reporting error and why the checking process did not identify the issue
  • detail future actions (e.g., updating of school’s checking procedure) to ensure error does not re-occur (continuous improvement).

TASC uses the final internal ratings reported by schools to generate qualifications that include overall awards such as Satisfactory Achievement (SA) or Exceptional Achievement (EA). TASC does this by applying the award requirement algorithms detailed in the course document.

The class teacher can determine the award for Level 1 and Level 2 course by similarly applying the algorithms. The information sheet ‘Understanding Assessment’ provides more information about how criterion achievement ratings are used to determines the overall award for a course.
